We understand that travel plans may change. Our cancellation policy is designed to be transparent and fair while considering commitments made to our travel partners and suppliers.

Cancellation & Refund Policy

At NavigoNex, we strive to provide exceptional travel experiences. However, cancellations may become necessary due to personal, medical, operational, or unforeseen circumstances. This policy explains how cancellations, amendments, and refunds are handled for all bookings made through NavigoNex.

Important: NavigoNex acts as an intermediary for airlines, hotels, transport providers, local operators, and other third-party suppliers. Refunds and cancellation charges are subject to the terms and conditions of the respective supplier. Any applicable deductions will be communicated transparently before processing your refund.


1. Cancellation by the Customer

  • Cancellation requests must be submitted in writing via email at contact@navigonex.com or through our official WhatsApp number.
  • The cancellation date will be considered as the date when the written request is received by our team.
  • Refund eligibility and the amount refundable depend on supplier policies, booking conditions, and the time remaining before departure.
  • Each component of your booking (flights, hotels, transport, activities, permits) may have different cancellation terms.

2. Cancellation Charges

Cancellation charges depend on multiple factors including supplier policies, booking conditions, airline fare rules, hotel terms, seasonality, and the timing of cancellation. The following table provides general guidance only:

We will communicate the precise applicable charges before processing any cancellation. No fixed percentage guarantees apply across all bookings.


3. Component-Specific Cancellation Terms

3.1 Flight Tickets

Flight ticket cancellations are governed entirely by the respective airline's fare rules. Non-refundable tickets, promotional fares, and certain booking classes may offer no refund value. Airline cancellation fees, convenience fees, and service charges apply as per the fare conditions at the time of booking.

3.2 Hotel Bookings

Hotel cancellation policies differ between properties. Certain promotional, festive, peak-season, and non-refundable bookings may not be eligible for any refund. Specific hotel cancellation terms will be shared at the time of booking.

3.3 Transportation Services

Private cabs, bus tickets, train tickets, ferry bookings, and cruise reservations are subject to the cancellation policies of the respective transport operator. Some transport bookings may be fully non-refundable after confirmation.

3.4 Activities & Adventure Sports

Activity bookings including adventure sports, guided treks, safari permits, scuba diving, paragliding, and similar experiences typically carry stricter cancellation terms. Many activity operators apply full cancellation charges within 48-72 hours of the scheduled activity.

3.5 Permits & Government Fees

Protected area permits, national park entry fees, monument tickets, and government levies are non-refundable once issued. These fees are paid directly to government authorities and cannot be recovered.


4. Non-Refundable Items

The following items are strictly non-refundable under all circumstances:

  • Visa application fees, embassy charges, and processing fees — non-refundable after submission regardless of approval or rejection
  • Travel insurance premiums — non-refundable once the policy is issued
  • Government taxes, levies, and surcharges — non-refundable once paid to authorities
  • Convenience fees and service charges — applied at the time of booking and non-refundable
  • Permit fees and entry tickets — non-refundable once issued
  • Courier and documentation charges — non-refundable once services are rendered
  • Processing and administrative charges — applied for all bookings and non-refundable

5. Booking Modifications & Amendments

We understand that you may need to modify your booking rather than cancel it entirely. The following amendment scenarios are handled on a case-by-case basis:

  • Date Changes: Changing travel dates may incur amendment fees plus any fare or rate differences. Subject to availability and supplier policies.
  • Name Changes: Traveller name corrections or substitutions may be possible subject to airline policies and permit regulations. Administrative charges apply.
  • Destination Changes: Switching to a different destination is treated as a cancellation of the original booking and a new booking for the new destination. Standard cancellation terms apply to the original booking.
  • Room or Hotel Changes: Upgrading or changing accommodation is subject to availability and rate differences. The original hotel's cancellation policy may apply to the cancelled portion.

All amendment requests must be submitted in writing to contact@navigonex.com. We will confirm applicable charges before proceeding with any changes.


6. No Show Policy

Failure to arrive for your scheduled departure, check-in at the hotel, board your flight, or participate in any booked service without prior written cancellation will be treated as a "No Show". No refunds will be provided for no-shows. The full booking amount will be forfeited. This applies to all components of your booking including flights, hotels, transport, and activities.

⚠️ Important: If you anticipate missing any part of your itinerary, contact us immediately. We may be able to assist with alternative arrangements or mitigate losses if informed in advance.


7. Force Majeure

NavigoNex shall not be liable for cancellations, delays, or itinerary changes caused by events beyond our reasonable control. Such events include but are not limited to:

  • Natural disasters, adverse weather conditions, earthquakes, floods, landslides
  • Government restrictions, travel bans, border closures, curfews
  • Political unrest, civil commotion, riots, acts of terrorism
  • Pandemics, epidemics, public health emergencies
  • Airline operational disruptions, airport closures, airspace restrictions
  • Industrial action, strikes, labour disputes
  • Any other event beyond the reasonable control of NavigoNex

In force majeure situations, refunds will depend on supplier policies and recoverable amounts from third parties. NavigoNex will make reasonable efforts to secure refunds or credits on your behalf but cannot guarantee outcomes in such circumstances.


8. Refund Processing

  • Approved refunds will generally be processed within 7–15 working days after confirmation.
  • Refunds will be made using the original payment method wherever possible.
  • Bank processing timelines vary and may take additional 3–10 working days for the amount to reflect in your account.
  • Refunds for bookings made via third-party platforms or agents will be routed through the respective channel.
  • Partial refunds may apply when only specific components of a package are cancelled.

9. Governing Law & Jurisdiction

This Cancellation Policy shall be governed by and construed in accordance with the laws of India. Any disputes arising out of or in connection with this policy shall be subject to the exclusive jurisdiction of the courts in Dharamshala, Himachal Pradesh, India.

Can I cancel my booking partially? +

Can I change my travel dates instead of cancelling? +

Yes, we accommodate booking modifications wherever possible. Date changes, name changes, and destination changes are handled on a case-by-case basis and may incur amendment fees plus any fare or rate differences. Contact us to discuss your specific situation before initiating any changes.

How long does it take to receive a refund? +

Approved refunds are typically processed within 7-15 working days after confirmation. The actual credit to your account may take additional time depending on your bank or payment provider (typically 3-10 additional working days). We keep you informed throughout the process.

Can someone else travel in my place if I cannot? +

Name changes and traveller substitutions are possible in many cases, subject to airline policies, hotel terms, and permit regulations. Administrative charges may apply. Contact us immediately if you need to transfer your booking to another person. Some bookings, especially those involving permits or non-transferable tickets, may not allow substitutions.

Are visa fees refundable if my visa is rejected? +

No. Visa application fees, embassy charges, courier fees, and processing charges are strictly non-refundable after submission, regardless of whether the visa is approved or rejected. These fees are paid directly to government authorities and service providers and cannot be recovered by NavigoNex.
